FACILTY USAGE AGREEMENT

The Red Rock Community Center (RRCC, hereinafter “Center or facility”) is a nonprofit entity of the RRCC, Incorporated. The Center is available for daily usage to RRCC Members (hereinafter “Responsible Party”) for private party events, pending Board approval. The facility is available Sunday through Saturday from 8:00 AM -10:00 PM. Please allow time for set-up and clean-up when scheduling your function/event. The Center and grounds must be vacated by 10:30 PM. No activities are allowed after 10:30 PM, either in the building or on the grounds.

Membership Needed

The Responsible Party signing this Agreement must agree to all set forth terms and conditions and be a paid RRCC Member. Membership Dues are $15 annually (January 1 – December 31). If you have not paid Membership for the calendar year, include dues and submit a Membership Application, with this Agreement. The Center is a family-oriented facility and your event must be conducted with respect for our historic building and the surrounding community.

The following requirements must be met prior to your reservation being confirmed:

A check or money order in the amount selected in the below ‘Time Slot Requested’ section to be mailed to the PO Box mailing address, along with a signed Facility Usage Agreement and Membership Form. Or if you prefer to pay through our online membership sign-up. To secure your date(s), we must receive your payment, this signed Agreement and the completed Membership Form. Once received, you will be contacted by a Board Member to confirm your reservation and arrange for a key and a walkthrough of the Facility. You must send written notice to cancel your reservation(s) ten (10) days prior to your event date. There is a $25.00 cancellation fee.

You are required to adhere to the following:

  • Occupancy cannot exceed a maximum of 118.
  • No alcoholic beverages in the building or on the grounds.
  • No smoking in the building.
  • No open fires allowed in the building or on the grounds, i.e. candles, camp fires.
  • No nails or tacks are allowed to hang decorations, etc.; please use painters tape and remove all at cleanup.
  • No removal of items on the walls or postings in the Center or on the grounds.
  • No loud music. No dancing inside the building (our hardwood floors must be preserved).
  • No illegal activities of any kind.
  • If AC/Heater is turned on, all Doors are to be kept closed at all times.
  • Liability Rider is required for water slides or bouncy house on premises.
  • No RV’s/campers/tents/etc. are allowed on the grounds, no overnight camping of any kind.
  • All tables and chairs are to be used inside the facility only.
  • If you require use of the Outdoor Pavilion, you must provide your own tables and chairs.
  • Party must provide their own coffee maker, utensils, dinnerware, food containers, paper towels, cleaning cloths/towels, etc.

Outdoor Cooking Events:

If your event involves outdoor cooking/BBQ pits, you must adhere to the following:

  • All BBQ pits, grills, and any other outdoor cooking equipment, propane included, must be structurally sound and self-contained.
  • A fire extinguisher, provided by the party, must accompany each pit.
  • No open ground firebox (i.e. campfire cooking box) is allowed.
  • A water hose, provided by the party, must be readily available; and can be connected to water faucets located at the backside corners of the building. Note: These faucets are locked, so you must remember to ask that they be unlocked prior to your event.
  • All ashes, charcoal, or other materials are to be removed from the grounds in a fire safe container (i.e. metal trash can) provided by the party.
  • Safety is of upmost importance. Please clear your BBQ event with the County as a burn-ban may be in effect.

CLEANING CHECKLIST:

Brooms, mops and limited cleaning supplies are located in the kitchen area and below the sink. Please provide any additional cleaning supplies you may need.

  • Floors swept (and wet mopped if necessary), this means no mud/dirt/debris on the floor; dump mop water outside. Outside porches swept.
  • Tables and,chairs wiped and cleaned. All tables and chairs are to be returned to their original positions. Chairs hung on chair rack in front room (please do not move chair rack). Do not lean tables or chairs against the walls.
  • Kitchen counters, sink and all appliances wiped clean. Please do not use any abrasive cleaners.
  • Bathrooms left clean; no sanitary products or diapers flushed down toilets.
  • All windows closed and locked, with curtains drawn closed.
  • All ceiling fans switched OFF.
  • All interior and exterior lights switched OFF.
  • AC/Heating thermostat switched to OFF ‘System’ mode and ‘Fan’ in Auto position.
  • There is no trash pickup. All inside and outside trash must be removed for disposal by the Party.
  • All three (3) exit/entrance doors locked.

 

Upon completion of the event, an inspection of the facility by a Board Member will be conducted. Should there be areas that are not left cleaned, damages, and/or nonadherence to time slot agreement may result in the loss/partial loss of your Security Deposit.

Indemnification for Liability:

Responsible Party (hereinafter “Party’s”) shall protect, defend, indemnify, and hold harmless Red Rock Community Center (RRCC) Incorporated or any agent thereof, from any damages, injuries (including death), losses to person or property, costs, attorney’s fees or expenses arising from Party’s negligence, gross negligence, or intentional acts in connection with Party’s use of the RRCC facilities. In addition, Responsible Party shall protect, defend, indemnify, and hold harmless RRCC Incorporated or any agent thereof, from any damages, costs, attorney’s fees or expenses arising from negligence, gross negligence, or intentional acts of any of Party’s guests in connection with use of the RRCC facilities. Responsible Party acknowledge(s) by signing below that they have read this contract in its entirety, that they are the responsible party for held event(s), and that they will abide by the guidelines and rules in this contract. The Party understand(s) that failure to follow these guidelines and rules can result in additional fees being deducted from the security deposit. Any damages to the facility will also result in deductions from the security deposit for the cost of repairs. RRCC Board retains the right to cancel any event.

Requested Date(s) Usage Fee/ Membership:

The Usage Fee donation is per day; any additional day(s) requested, regardless of lesser time usage, is per day as selected below; Plus,(+) the below Security Deposit. Ask about our Special Rate for extended event.
